Privacy Policy

1. What this policy covers

This policy explains how WLF Club handles information collected through this website at wlfclub.com, including any subdomain we use for booking. It covers six things and only six things: browsing these pages, submitting the contact form, using the free Quick Read tool on the home page, booking a call through the scheduling calendar embedded on our booking page, answering the 6-Pillar Longevity Quiz, and booking the golf diagnostic.

WLF Club is a wellness, sports medicine, training, and recovery club located at 5724 W Vickery Blvd, Fort Worth, Texas 76107. WLF Club is a d/b/a of Patriot Chiropractic and Sport Performance.

2. What this policy does not cover

The short rule: if you typed it into this website, this policy applies. If you told it to a provider, the Notice of Privacy Practices applies.

This policy also does not cover other companies' websites and apps. If you follow a link from here to Instagram, TikTok, Facebook, or Google, you are on their service and their privacy policy governs what happens there. The booking calendar on our booking page is provided by our scheduling platform; what you enter into it is covered in section 5.

3. What we collect, and when

Information you give us on purpose

If you fill in the contact form, we receive the name and message you typed, plus whichever way you chose to be reached: a phone number, an email address, or both. The form asks for one of the two and takes either. That is all the form asks for. If you call or text the number on this site, we receive your phone number and whatever you say or write, the same way any business does.

If you answer the 6-Pillar Longevity Quiz, we receive your name, your email address and your phone number, together with the answers you picked and the score they produce. If you book the golf diagnostic, we receive your name, your contact details, which area of your body you want us to look at, and how ready you are to book. Both of those go into the customer record system we use to run the club, which is the same platform behind our booking calendar and our texts and emails, and they are what a member of our team reads before getting back to you. Your quiz answers and your score are not sent to any advertising platform, and they are not sent to the service that turns form submissions into email for us; that service receives only enough to reach you back. If you would rather we did not hold your answers, ask us and we will delete them.

Information collected automatically

When any browser requests any page on the internet, the server that answers necessarily sees the request. For this site that means the web host receives your IP address, the page you asked for, the time you asked for it, and your browser's user agent string. This is standard server logging and it is how the internet works, not a tracking choice we made. We use it to keep the site up and to investigate abuse.

What our measurement tools collect

On top of that logging, this site runs measurement tools, and we would rather tell you exactly which ones than gesture at "analytics partners". They collect which pages you visit here, how you arrived, what kind of device and browser you use, and what you click. Some of them set cookies or store an identifier in your browser so that a return visit is recognized as the same browser. Section 5 names every one of them and what each receives. Section 9 is the switch that turns the advertising ones off.

What none of them collect: your Quick Read answers, anything you type into the chat, and the text of any message you send us. Those go only where sections 3 and 5 say they go.

The chat assistant

This site has a chat window, provided by the same platform that runs our booking calendar and our messaging. It is on most pages, and it loads once you scroll down. Three things follow from that and you should know all three.

It stores something in your browser. The chat keeps a small record on your device so that your conversation stays open as you move from page to page and if you come back later. It is there to hold your conversation, not to track you or to follow you to other websites. Section 5 lists the other tools on this site that also set a cookie or use browser storage, and section 9 is where you turn the advertising ones off.

What you type in it reaches us. Your messages, anything you enter to start the chat such as a name, an email address, or a phone number, and the page you were on when you wrote, are sent to our platform and kept there with the rest of our record of conversations with you. We use it to answer you and to follow up.

It is an AI tool, and it answers you directly. Replies are written by an automated assistant trained on information about the club, and they are sent to you automatically, without a person checking each one first. It is not a clinician, it does not give medical advice, and it does not make any decision about you. Your conversation lands in the same inbox as the rest of our messages, so a member of our team can read it and step in at any point. Please do not type health details into the chat. It is a general question and scheduling tool, it is not a secure or confidential channel for medical information, and it is not the right place to describe symptoms or a condition. Anything you send there sits outside the protections described in section 2. If you need to discuss your health, call us or raise it at a visit. If this is an emergency, call 911.

Information the Quick Read does not send us

The Quick Read is the three tap tool on the home page. It runs entirely in your browser. Your answers and the read it produces are calculated on your own device and are not transmitted to WLF Club, stored on our servers, or saved anywhere after you close the tab. If you choose to press the button that texts your read to us, your phone's own messaging app opens with the message already written, and nothing is sent until you press send in that app. That choice is yours and it is the only way a Quick Read result reaches us.

The measurement tools are deliberately kept away from it. Our analytics records that the tool was started, which numbered step you were on, and that it finished. Never what you answered, never the result. The advertising pixels described in section 5 record nothing about it at all, and the session replay tool is blocked from seeing the Quick Read region entirely, so your taps and your read do not appear in any recording.

4. What this site does, and what it will not do

Most privacy policies are vague here. We would rather be specific in both directions, because specificity is the only part of a privacy policy you can actually hold us to. This site measures itself, and here is the honest ledger.

Every Yes above is described tool by tool in section 5, and the advertising rows have a switch in section 9 that turns them off and stays off. If what this site does changes, this page and its effective date change before the change goes live, not after.

5. Third parties and measurement tools this site actually touches

We would rather name the real list than gesture at a long hypothetical one. The typefaces on this site are hosted on our own server, so no font network sees you on the great majority of it. Three pages are the exception, our booking page for the golf diagnostic, the golf diagnostic page itself, and the 6-Pillar Longevity Quiz, which still load their typefaces from Google Fonts. On those three pages Google receives your IP address and browser information. We are moving those typefaces onto our own server too.

Google Analytics

Measures which pages are visited, how visitors arrive, and what gets clicked, so we can tell what on this site works. Google receives your IP address, browser information, and the pages you view here, and sets cookies to recognize a return visit. For the Quick Read it receives only that the tool was started, the step number, and that it finished, never an answer.

Microsoft Clarity

Records how sessions move through the site, as replays and heatmaps, so we can see where pages confuse people. It runs with strict input masking, which means anything you type is masked before it leaves your browser, and the Quick Read region is blocked from recordings entirely. Clarity receives your IP address, browser information, and the masked recording. It does not run at all for visitors connecting from California or Washington, and it does not run at all on the page where you book the golf diagnostic, because the details you carry into that booking are on that page.

Meta advertising pixel

Tells Meta which pages of this site your browser visited, so that if we run Instagram or Facebook ads we can measure whether they worked and show ads to people who have visited. Meta receives the page address, your IP address, and browser information, and can connect that to your Meta account if you have one. It fires nothing on any Quick Read interaction. Section 9 turns it off, a Global Privacy Control signal turns it off automatically, and it does not load at all for visitors connecting from California or Washington.

Google advertising

When we run Google ads, a Google conversion tag measures whether a visit that started from an ad led to a booking or a message. It follows every rule the Meta pixel follows, including the section 9 opt-out and the state exclusions. When we are not running Google ads, it stays dormant.

Our own visit counter

A first-party tool that runs on our own infrastructure and reports only to us. It counts pageviews, and it stores a visitor identifier in a cookie and browser storage so that a return visit is recognized. If you submit a form with your contact details, we connect that identifier to your inquiry so we know which pages you looked at before reaching out; your email address and phone number are scrambled into an unreadable code before they are stored there. It honors Do Not Track by doing nothing at all, downgrades to anonymous counting when your browser sends Global Privacy Control, and never runs its identity features for visitors connecting from California or Washington. Nothing it collects is sold or shared with any ad platform.

Our messaging platform, on most pages

The chat window is provided by the same platform that runs our booking calendar and our texts and emails. It is on most pages and it loads once you scroll down, and when it does that platform receives your IP address and browser information the same way any embedded tool does. Your chat messages and anything you enter to start a chat are collected by that platform on our behalf. Section 3 describes what the chat stores and what we ask you not to send through it.

Our web host

Serves these pages and keeps the standard server logs described above.

Our contact form service

When you press send on the contact form, what you typed is passed to a form handling service that turns it into an email and delivers it to us. That service receives your name, your message, the contact details you gave, the page you sent it from, and your IP address. It passes the message along and we do not use it for anything else. The same service also receives a copy of quiz and golf diagnostic enquiries, as a backup so an enquiry cannot be lost if our main system is down. That copy carries your name and how to reach you and nothing else: no quiz answers, no score, and nothing about your body. If you would rather not use it, call or text us, or email us directly; both reach the same people.

Our booking and scheduling platform, on the booking page

Our booking page embeds the live scheduling calendar from our scheduling platform, so opening that page contacts the platform's servers, which receive your IP address and browser information the same way any embedded page does. Anything you enter into the calendar, such as your name, contact details, and the time you pick, is collected by that service on our behalf so we can schedule and manage your call.

Google Maps

Most pages that show where we are carry a map, which loads from Google and is subject to Google's privacy policy. Nothing reaches Google when the page first loads. The map starts as a still image held on our own server, and the live version loads only once you scroll down to it. When it does load, Google is told the website you came from as wlfclub.com and never the particular page you were reading, so which of our pages you were on is not shared. Our contact page is the exception and loads no map from Google at all. The map you see there is a drawing of our block held on our own server, so no request leaves your browser for it, at any point. The "Get directions" buttons on that page and elsewhere are ordinary links: nothing is sent to Google unless you choose to follow one, and then you are on Google's service under Google's policy.

Email and phone

Messages you send reach us through ordinary email and phone service, carried by the providers both of us use.

6. What we do with what we collect

We use what you send us to answer you, to schedule and manage a visit, and to keep records of our correspondence. We use what the measurement tools collect to understand which pages work, to fix the ones that do not, to measure whether our advertising was worth running, and to show ads to people who have visited this site. We do not enrich any of it with data bought from anyone, and we do not use any of it to make automated decisions about you.

7. Who else sees your information

We share information from this website in three situations, and no others:

• With the service providers and measurement tools named above, only to the extent described there.
• When the law requires it, such as a valid subpoena, court order, or lawful request from a government authority.
• To protect the safety, rights, or property of a person, our staff, or the club, where we believe in good faith that disclosure is necessary.

Under Texas law, selling personal data, sharing it, and processing it for targeted advertising are three distinct things. We do not sell your personal data and we do not trade it for anything. The advertising pixels in section 5 are targeted advertising, which is why section 9 gives you a switch that turns them off, and why a Global Privacy Control signal turns them off without you having to ask.

8. Your rights if you live in Texas

The Texas Data Privacy and Security Act gives Texas residents the right to ask a business to confirm whether it is processing their personal data and to get a copy of it, to correct errors in it, to delete it, and to opt out of its sale or of targeted advertising. We honor these requests regardless of whether the Act's thresholds technically apply to a club our size, because arguing about an exemption is a poor way to treat someone asking a fair question.

To opt out of targeted advertising you do not need to write to anyone: section 9, right below, is a switch that does it on the spot. For everything else, email [email protected] or call (817) 349-7815 and tell us what you want. We will respond within 45 days, and we will tell you if we need longer.

If we deny a request, you may appeal by replying to our decision. If we deny the appeal, you may submit a complaint to the Texas Attorney General.

If you live outside Texas, write to us anyway. We will apply the same process.

Requests about your care records are a different process, because those are governed by HIPAA rather than by this policy. Call the club and ask for medical records.

9. Your privacy choices

This is the switch, not a form and not an email address. It controls the advertising pixels named in section 5: Meta, and Google advertising when it runs. Analytics and the session replay described above are measurement of our own site, not targeted advertising, and are not covered by this switch; what limits them is the masking and the quiz blocking described in section 5.

Automatic signals. If your browser sends a Global Privacy Control signal, the advertising pixels stay off without you touching anything, and this page will say so above. We treat Do Not Track the same way.

California and Washington. If your connection comes from California or Washington state, the session replay tool and the advertising pixels are not loaded at all. We are straight about the limit of that: it keys on where your connection comes from, not on where you live, so a California resident browsing from Texas is not covered by it. The switch above works for everyone, everywhere.

Europe, the United Kingdom and Switzerland. If your connection comes from the EEA, the UK or Switzerland, the session replay tool and the advertising pixels are not loaded at all either. Those laws ask for your permission first rather than giving you a way out afterward, and we would rather turn the tracking off than put a consent banner in front of you. WLF Club is a physical club in Fort Worth, Texas and does not offer its services in Europe. The same limit applies as above: this keys on where your connection comes from, not on where you live.

10. Children under 13

This website is meant for adults and is not directed to children under 13. We do not knowingly collect personal information online from children under 13. If you believe a child has sent us information through this website, contact us and we will delete it.

Minors are treated as patients at the club with a parent or guardian involved, which is a clinical matter governed by HIPAA and by Texas law, not by this website policy.

11. How long we keep it, and how we protect it

We keep messages you send through this website for as long as we need them to answer you and to keep a reasonable record of our correspondence, and then we delete them, unless a law or a professional recordkeeping obligation requires us to keep them longer. Server logs are kept for a short operational period and then rotated out.

We take reasonable steps to protect what you send us. We will also be straight with you: no website, no email system, and no business anywhere can promise perfect security, and any policy that claims otherwise is not telling you the truth. Please do not send detailed health information through the contact form or by email. Call us instead, or bring it to your visit, where it is handled under HIPAA.

12. Browser privacy signals, and what we honor

Some browsers send a Do Not Track or Global Privacy Control signal. We honor both, before anything loads rather than after: either signal keeps the advertising pixels from loading at all, exactly as if you had used the switch in section 9, and our own visit counter additionally goes fully silent on Do Not Track and drops to anonymous counting on Global Privacy Control. You do not need to tell us to do this and there is nothing to configure.

13. If this policy changes

If we change how this website handles information, we will update this page and change the effective date at the top before the change takes effect. We will not make a change first and document it later.
